Data
| Setting | Notes |
|---|---|
| Assistant attribute | The Entra ID extension attribute (extensionAttribute1–15) that holds assistants, see below. |
| Dotted-line manager attribute | The extension attribute that holds dotted-line managers, see below. |
| Additional employees list | A SharePoint list with people outside Entra ID. See Additional employees. |
| Hide people without manager and without reports | On by default. Hides service accounts, meeting rooms and similar. |
| Cache directory in the browser | 0 to 72 hours (default 12). 0 reloads the data on every visit. |
| Reload data now | Bypasses the cache, for example after changes in Entra ID. |
Assistants and dotted-line managers
coOrgChart reads these relationships from two extension attributes of your choice:
| Relationship | Set on | Value |
|---|---|---|
| Assistant | the manager | The assistant’s UPN or email. Separate several with ;. |
| Dotted-line manager | the employee | The dotted-line manager’s UPN or email. Separate several with ;. |
- An assistant who reports to the person they assist is shown in the assistant area instead of the team. If the assistant leads a team of their own, they stay in the normal tree so their team remains reachable.
- An assistant whose manager is someone else appears in both places: in their manager’s team and beside the person they assist.
- Dotted-line reports appear under their dotted-line manager with a dashed border. Clicking one jumps to the person’s real position.
- Hybrid identity: maintain the attributes in your on-premises Active Directory; Entra Connect syncs them.
- Cloud-only users: set the attributes in the Exchange admin center (user › Others › Custom attributes) or with Microsoft Graph.
If you already maintain such attributes for another org chart tool, they usually work unchanged.
Views
There is always at least one view. With two or more, they appear as tabs above the chart. Each view is either an org chart or an employee directory.
Org chart views
| Setting | Notes |
|---|---|
| Tab name | Shown in the tab bar. |
| Open the chart on | The top of the organisation, the current user, or one to three specific people side by side. |
| Chart type | Classic (top to bottom), Compact (reports stacked vertically from a number of reports), Group leaves (people without reports in two columns), Left to right (indented, like a file explorer), Bottom to top. |
| Group reports by | Groups each manager’s team by an attribute (e.g. department) under headers on the connector line. |
| Grouping levels | How many levels below the top person(s) are grouped. |
| Levels expanded on load | 1 to 6. |
| Show search box | A search box inside the chart. |
| Label on the cards | An attribute shown as a coloured label on each card, e.g. the department. |
| Filters for this view | Added to the common filters. |
| Theme | Colours, card style, text size and fields of this view, see Themes. Default: the first theme. |
Employee directory views
| Setting | Notes |
|---|---|
| Layout | Cards (grid of tiles) or List (table). |
| Sort by | Name, or an attribute and then name. |
| People per page | 12, 24, 48 or 96. |
| Filter dropdowns | Attributes viewers can filter by; each dropdown shows the remaining values with counts. |
| Show search box | Search over name, job title, department, company, office and email. |
| Theme | As for org chart views. |
The first view opens by default. To link to a specific view, add ?orgchartview=<tab name> to the page URL. To open
the chart on a person, add ?orgchart=<UPN>.
Filters
“Common filters (all views)” on page 2 apply to every view; each view can add its own rules. Disabled accounts and guests are always excluded.
| Rule | Example values |
|---|---|
| Only show people where attribute is one of | Company: Contoso Ltd; Contoso* |
| Hide people where attribute is one of | Department: External; (empty) |
| Hide accounts (UPN, email or display name) | svc-*; admin*; *@partner.com |
| Only show members of group | All Employees (name, email or object ID; nested groups count) |
| Hide members of group | External Contractors |
- Attributes: company, department, office, city, country/region, job title, employee type and
extensionAttribute1–15. - Comparisons: is one of (with
*as a wildcard), starts with or contains. Matching ignores case;(empty)matches a blank value. - “Hide” rules hide the person together with everyone below them. “Only show” rules skip people who don’t match; their team moves up to the next visible manager.
- Filters control what is displayed. They are not a security boundary, because users can see the directory in other Microsoft 365 apps anyway.
Rename values
Shows attribute values under another name without changing Entra ID – for example two group companies as one:
attribute Company, values to rename Contoso Holding AG, show as Contoso AG.
- Applies everywhere: cards, details window, directory filters, sorting, grouping, labels, search and export.
- Separate values with
;. Matching ignores case,*works as a wildcard, and(empty)gives a blank value a name. - Renaming happens before filtering, so filter rules use the new name.
Display
| Setting | Default | Notes |
|---|---|---|
| Show dotted-line reports | on | |
| Show Teams presence | on | |
| Scale the chart to fit the web part | off | Zooms out automatically so the whole chart is visible. |
| Show the export button (PNG / PDF / CSV) | on | Off hides the export button for all viewers. |
| Height | 700 px | In a Teams tab the chart uses the full height. |
Themes
A theme is a named set of formatting settings. Create as many as you need under Themes on page 1 and choose one for each view (Theme in the view’s settings). Views without a choice use the first theme, so new views look like the rest of the web part.
| Setting | Notes |
|---|---|
| Theme name | Shown in the view settings. |
| Card style | Modern (photo centred on top) or Classic (photo left of the text). |
| Text size | Small (90%), Normal, Large (115%) or Extra large (130%). The cards grow with the text; photos keep their size. |
| Card width | 120 to 600 px (default 220). |
| Chart background | Page theme, white or a custom colour. On a custom colour, text, lines and greys switch to light or dark automatically. |
| Card colour | Card background; the text switches to black or white for contrast. |
| Highlight, secondary and group header colour | Accent bar, connector lines, labels and group headers. Empty means the SharePoint theme colour. |
| Fields shown under the name | Up to five attributes, in the order you choose. Empty fields are left out. |
| Fields in the details window | Up to twelve attributes; email and phone are clickable. |
Export and Import copy themes as text, for example into the coOrgChart web part on another page. Imported themes are added to the existing ones; a name that already exists gets a number.
